- Lottery numbers may not be sold or transferred to other students.
- Transfer students will be assigned by the number of credits they have completed to the appropriate cohort.
- Graduate students will not go through the lottery process. Graduate Student housing assignments are made if there are available beds after incoming students’ assignments are confirmed. Graduate Students must complete the Housing Intention Form on JayWeb within the above timeline if they wish to be placed on the housing waitlist.
ROOM SELECTION
You will receive a detailed email from Community Living verifying your time assignment and instructions to prepare you for room selection for the Fall.
- All Housing Selection appointments will occur via Zoom.
- Please bring a photo ID.
- Roommates and groups will be assigned by the best lottery number of the group.
- If you are unable to participate at the time you are assigned, please make arrangements to have a friend select a room for you using your proxy code, which you will receive with your lottery number.
- Once the process begins, if your name is called and you or your selected roommate(s) are not present, you lose your priority in the selection process and will only be able to choose a room or have one assigned to you after all other students have completed the process.
- If for some reason you cannot attend the room selection time AND cannot find a proxy, please reach out to the Community Living Office.
- Please come prepared with several hall and room choices as some rooms on each floor will be designated for new students and not available at the time you select your room.
- Continuing students who do not have a preferred roommate and sign up for a double occupancy room should anticipate completing a Roommate Preference Sheet and being assigned a roommate.
Community Living reserves the right to change room assignments over the summer to adjust for gender balance on co-ed floors, place two upper division students together so that first year students can be placed together, adjust a co-ed floor to single gender or vice-versa, to adjust assignments when contract cancellations occur, and to preserve the integrity of a floor designation. We will attempt to contact you by email, should a change occur that affects your assignment.
FAQs for Traditional Housing Selection
An email will be sent to your Etown email address containing a 'view only' slide show that will be updated in real time as room selection progresses. The slideshow will have the rooms available for you to select. Rooms with an “X” have already been assigned, and rooms with an “O” are being held for Living Learning Communities and/or new students; however, that “O” may be moveable to a degree within the same wing/floor/building. Rooms without an “X” or an “O” are available for choosing.
If you have a roommate, identify which of you has the best timeslot. Arrive to the Zoom at their assigned time. You will wait in the Zoom waiting room until we get to your appointment time. We will then move you into the Zoom Room. If you have a roommate, tell us who they are and if they are in the waiting room, and we will add them into the Zoom Room. Students will be asked to hold up your campus ID to the camera and then select your room. Once you have selected your room, you will leave the Zoom Room. Please DO NOT enter the Zoom video conference more than 5 minutes before your time, this will help in expediting the process.

Your Need to Knows
- This selection process will be recorded! This will be for administrative purposes only. Please reach out to us to select on your behalf if this is an issue for you.
- Please have your Etown ID and several desirable building and room options ready.
- When entering the Zoom Room please be sure that your lottery number and first and last name are on your Zoom name, so we can easily identify you when it’s your time to choose.
- If you/your roommate need to make a change to your selection you must wait until the end of the selection process.
- If you are having difficulty connecting to the Zoom video, you can call in using the appropriate phone number in the invite. If you require accommodations to participate in Zoom (such as closed captioning) please reply to this email before your timeslot.
- If no one from your group is available at selection time you may send a proxy (see below).
My Time Slot Doesn’t Work for Me and/or My Roommate
- If you are not available at your selection time you may send a proxy to select on your behalf by submitting this form. If you send a proxy, you MUST let us know who that person is prior to your selection time so that we know who to admit into the Zoom room. If you are sending a proxy on your behalf and they will be selecting at your lottery number time slot, you MUST submit the above form. If you have a planned roommate, your roommate can come at your selection time and select on behalf of both of you or all approved group members.
- If both roommates are not available to attend selection a proxy may select for the pair, but each roommate will need to name them as a proxy. Both roommates must submit this form naming said person as their proxy.
Waitlist
If you do not make it into a building or space that you were hoping for, we can place you on the waitlist. As the summer progresses, if your desired space becomes available, you may be moved off the waiting list. To sign-up on the campus wide waiting list for all buildings, enter your information on this form . We will attempt to contact you by email during the summer should something become available. You will have just 48 hours to accept or decline the room offer.
Themed Housing
If you expressed interest during our online housing survey in living in one of our themed living learning communities such as Stonewall, Wellness, Global Trekkers, etc., we have held a few rooms in each of those communities for you to select during your selection time.
What if I don’t have a roommate?
Continuing students who do not have a preferred roommate and sign up for a double occupancy room can complete the Find-A - Roommate Survey and will be assigned a roommate. Students should be working to find a roommate prior to selection by completing the Find-A - Roommate Survey and checking the shared Roommate selection spreadsheet for others who are in need of a roommate. If you do not select a roommate and you have any open beds in your space, you will be assigned a roommate.
What if I miss my housing selection timeslot?
Once the process begins, if your name is called during your timeslot and you or your selected roommate(s) are not present, you lose your priority in the selection process and will only be able to choose a room once you arrive .
Once I’ve selected my Housing am I guaranteed that spot next year?
Community Living reserves the right to change room assignments over the summer to adjust for gender balance on co-ed floors, place two upper division students together so that first year students can be placed together, adjust a co-ed floor to single gender or vice-versa, to adjust assignments when contract cancellations occur, and to preserve the integrity of a floor designation. We will attempt to contact you by email, should a change occur that affects your assignment.
Where should I direct questions or concerns?
Any questions or concerns can be directed to The Office of Community Living, reslife@etown.edu or 717-361-1197.
ILUs and Roomate Groups
You will be required to fill all spots in an ILU for fall semester at the time of selection. Incomplete units will not be accepted.
ILUs do not all have the same number of bed spaces. All Hackman Apartments and Quads have 4 beds. Brinser has suites that have 2, 3, and 4 beds. The college-owned houses have 3, 4, 5, and 6 beds, depending on the house.
If, for whatever reason, someone from your roommate group no longer wishes to or is eligible to live in your chosen ILU, you may have the option to pull in another eligible roommate. It is possible that you will be assigned someone from the waitlist, depending on the time of year.
Single Rooms
Single rooms are only available for students with a documented medical accommodation that is approved by the Office of Disability Services. The single room waitlist is managed by the Office of Disability Services.
Going Abroad
If your study abroad program is scheduled for the Spring 2023 semester and you will be here Fall 2022, follow the instructions detailed above for the room selection.
If your program is scheduled during the Fall 2022 semester and you will be gone Fall 2022, we encourage you to find someone going abroad in the spring to replace them. If you are not able to do this, Community Living will assign a room/unit for you beginning in November 2022 based upon your lottery number and hall preferences. Notification of your room assignment will be sent to you by email in early December.
If you will be abroad all academic year 2022-2023, please contact Community Living for next steps.
December Graduates
If you are graduating in December, please notify your roommate(s) now. We will work to fill your space over winter break if you do not have someone to take your place.
Graduate Student Housing
On-campus housing is mandatory for undergraduate students in their first 8 semesters (4 years) on campus. 5th year and Graduate Students can express interest in on-campus housing, but we cannot guarantee placement. Graduate Student housing assignments are made if there are available beds after incoming students’ assignments are confirmed. Our team likely will not be able to confirm that there are beds available until August. It is important that you have a backup plan if you plan to explore living on campus as a Graduate Student. Please note, Graduate Students cannot select roommates for this option. We place Graduate Students in any beds that are available within our housing options.
